Organization & team

Groups, tags & entities

Organize and segment your users, and manage multiple brands.

Three complementary tools structure your users and your data within an organization. Unlike spaces, which compartmentalize permissions, these tools are mainly for organizing and targeting.

Groups

Groups bring users together (by team, department, site, and so on). They're used in particular for targeting: assigning a template, a campaign or an order to an entire group rather than to each person. A user can belong to several groups at the same time.

Create a group:

  1. Open Organization → Groups.
  2. Click Create a group and give it a name (e.g. "Sales", "Management").
  3. Add the relevant users.

You can then target this group when assigning a template or a campaign.

Org chart and group information

A group can have a parent group (e.g. "Lyon Agency" under "HQ"): this is how you build your org chart.

Each group can also carry its own information: logo, colors, phone, email, address, social links, links. It shows in templates through group variables — for example each user's agency address in their signature.

If a user belongs to several branches, their primary group (the star on their profile) sets the one whose information feeds their templates.

Tags

Tags are free-form labels used to segment users and contacts — for example "trade show 2026", "VIP" or "sales". They make filtering and exporting easier.

Section: Organization → Tags.

Unlike groups (which are used for targeting), tags are mainly sorting and search criteria. A single item can carry several tags.

Entities (merged into groups)

The former entities (a brand or department with its logo and colors) have been merged into groups: a group now carries both its members and its visual identity.

Example

An organization owns two brands, "Alpha" and "Beta". You create two groups, each with its own logo and colors, and put the users in them. In a signature, {{user.groupauto.logo}} automatically shows the right logo for everyone.

Custom attributes

You can add custom attributes to your users (tailored fields, e.g. "employee ID" or "region"). They can be used in filters, in imports and in Microsoft Entra ID synchronization.

You create them from the Users page, or on the fly while mapping: both the CSV import screen and the Microsoft Entra field mapping offer "Create a custom attribute" straight from the target-field list. The new attribute is immediately selected for the column you were mapping.

Groups, tags or spaces: which one to choose?

Good to know

  • A user can belong to several groups and carry several tags; a space, on the other hand, is a more structural attachment.
  • Custom attributes and some segmentation options depend on your plan.
