Send by email
Send your users a single link listing every digital card they can add to their phone.
Once your templates are created and assigned, your users still have to add their card to their phone. The simplest way is to email them from the dashboard.
The email contains a single link. It opens a page listing every digital card the person is entitled to — whether one template targets them or several — and they pick the ones they want to add.
Sending the cards
Three paths lead to the same email:
- From the user list — select one or more people, click Send an email, then choose Link to digital cards.
- From a user's record — Cards and wallets tab, Send by email button.
- From a template — open the template in Apple Card & Google Wallet and use Send by email: the recipients are the people that template targets.
In all three cases the email is the same: it doesn't carry one template, but the link to all of that person's cards.
A screenshot of the send panel, showing the email type picker and the message preview, would help here.
You can customise the subject and the message. Two placeholders are replaced when the email goes out:
| Placeholder | Replaced with |
|---|---|
[[wallet_url]] | The button leading to the cards page |
[[wallet_qr]] | A QR code pointing at that same page |
The QR helps when the person reads their email on a computer: they scan it with their phone and land straight on the page.
What the recipient gets
A link of their own, valid for 7 days. Opening it shows the list of their digital cards, each with its template and status (already installed or not).
- On a phone, an Add button per card. The card matching the device (Apple Wallet on iPhone, Google Wallet on Android) comes first — the others stay available.
- On a computer, a QR code per card, to scan with the phone: a card file downloaded onto a laptop is of no use.
They can add several cards, come back to the page and add another one later, for as long as the link is valid.
Good to know
- The link expires after 7 days. Past that, the page says so and you need to send a new email.
- Sending again creates a new link; the previous one stays valid until it expires on its own.
- Someone with no card assigned sees a page telling them so, rather than an error. If you publish a template covering them while the link is still valid, the card shows up on their next visit.
- Only people with an email address can receive the send.
- The send is recorded in the activity log, and so is the first time the link is opened.
Troubleshooting
- They didn't get the email: check that their record has an email address, then their spam folder.
- "This link is no longer valid": the 7 days have passed, send a new email.
- The page shows no card: no published template targets that person. Check the template's assignment (see Create a digital card).
- Adding fails on the phone: open the link from the device's default browser. More fixes on Troubleshooting · Wallet.
